Purpose of Position
Provide day-to-day support to the Corporate Services Manager in Beirut and act as a focal point for all corporate administrative issues. The post holder will work closely with other ARK Group corporate service functions (Compliance, Logistics & Procurement, Human Resources and Travel).
Tasks & Responsibilities
• Assist in the day-to-day operations of the ARK Lebanon office; under the direction of the Corporate Services Manager ensure that the office’s overall corporate service activities are conducted effectively in support of the programme staff.
• Assist the Corporate Services Manager and programme manager in the conduct of all logistical, administration, procurement and HCM matters ensuring that ARK Group processes and procedures are carried out on a day-to-day basis.
• Ensure compliance with Lebanese laws, regulations and practices in all matters.
• Assist in the efficient running of the office by ensuring its cleanliness (oversee the duties of the cleaner), the upkeep of office furniture and the maintenance of operational levels of stationary and other office equipment as required.
• Manage the office lease agreements, payment of rent, tracking lease renewals in a timely manner and relationships management with the landlord.
• Negotiate and maintain corporate rate agreements with hotels and other suppliers in Beirut.
• In conjunction with the ARK Lebanon L&P Assistant assist in relationship management with existing suppliers and in the expansion of the supplier network.
• Carry out due diligence checks in accordance with ARK Group SOPs.
• When required, draft general administrative documents including the maintenance of activity trackers.
• Attend corporate service meetings and draft meeting minutes.
• Assist the Corporate Services Manager with any other tasks and activities that may be required to provide support to programme teams in field offices.
REQUIREMENTS:
• Degree in Business, International Studies, or closely related field.
• A minimum of 3 years of experience in a similar role.
• Attention to detail, ability to work independently and with tight deadlines.
• Communication and analytical thinking.
• Strong English skills.
