Context:
Under the programmatic supervision of the Family Assistance Program (FAP) Project Coordinator and the administrative supervision of the Chief of Mission, the successful candidate will be based in Beirut and will be accountable and responsible for supporting the day to day management of the FAP and its staff. This includes responsibility for assisting with the management of the out and live of the FAP, ongoing operational management, financial oversight, as well as security, and client service management.
Core Functions / Responsibilities:
Monitor adherence to conditions in the project proposal signed between IOM and the German government and bring problems or issues to the attention of the supervisor.
Maintain positive working relationships with local authorities, staff members within the FAP
and with external counterparts involved with the processing of this caseload.
- Apply security directives and guidelines, and maintain close coordination with IOM SSU
country representative and UNDSS as appropriate.
- Monitor the implementation of operations and coordinate with the FAP Team Leaders in order
to increase efficiency and effectiveness.
Assist with the day to day running of the FAP and of the FAP up, which will include supervising applicable refurbishment, providing logistical/administrative support, preparing appropriate paperwork and templates for the project team, recommending the procurement of appropriate IT equipment, ensuring IT configuration, and other requests relating to the establishment of the FAP.
Monitor budgets and expenditures in consultation with the Project Coordinator and FAP Management Team in HQs.
Draft portions of required reports based on established templates and guidelines.
Provide information and assist with arrangements required for the recruitment of project staff in close coordination with the Project Coordinator. Assist in the performance evaluation of processing staff.
Provide excellent migrant service to applicants at all times, in full compliance with the Service
Standards.
Maintain a professional appearance and migrant-friendly demeanour at all times.
Maintain and ensure confidentiality of all FAP-related matters, in accordance with guidelines and instructions.
Monitor the integrity of records containing individual data, and bring to the attention of the supervisor suspected fraud or malfeasance.
Perform such other duties as may be assigned.
Required Qualifications and Experience:
Education
• Masters degree in Business Management, Client Services, Social Science or a related field from an accredited academic institution with two years of relevant professional experience; or
• University degree in the above fields with four years of relevant professional experience.
Experience
• Demonstrated ability to maintain accuracy & confidentiality in performing responsibilities;
• Demonstrated proficiency with Microsoft Office applications, including Excel, PowerPoint. Good knowledge of information technology and proficiency in Microsoft Office applications especially Excel, Word, PowerPoint and Publisher;
• Previous work experience in international organizations and service industry companies would be an advantage;
• Strong interpersonal & intercultural skills with an attention to detail.
Languages
Fluency in English and Arabic is required. Working knowledge of German is an advantage.
