PURPOSE OF THE POSITION:

To provide front-line office services and wide range of support for World Vision Lebanon administration and staff.

MAJOR RESPONSIBILITIES:

  • Receive people and provide them with first assistance.

  • Greet visitors in a professional and courteous manner and notify the relevant employee

  • Ensure that the reception area, conference room, external entrance are kept neat and tidy, so as to maintain a good image of the organization.

  • Handle and transfer all incoming calls, insuring that calls are answered effectively.

  • Handle the process of distributing incoming and outgoing mail / courier (DHL, Libanpost, Aramex, ect.), prepare Payment order for Aramex each end of month.

  • Coordinate the conference rooms’ schedule, charging and prepare for meetings to provide with coffee breaks and lunch as requested.

  • Keep the conference room tidy and clean after each usage.

  • Update the conference file as needed.

  • Monitor water use and update water tracking sheet,

  • Keep taxi tracking sheet updated

  • Send monthly reports as required.

  • Responsible for registering, typing, sending, distributing copies and filing all outgoing mail, faxes as needed

  • Update World Vision staff directory on a monthly basis in coordination with P&C department.

  • Prepare the visitor’s pack as requested

  • Responsible of own security and actively contribute to a positive security culture

  • Abide by the security policies and procedures and report any incidents or breaches to line manager and / or security manager

  • Attend and participate in spiritual nurture events as well as other organizational events.

  • Attend and participate in local and international CB events as needed

  • Perform other relevant duties as needed

KNOWLEDGE, SKILLS and ABILITIES:

  • Diploma in a field related to administration and secretarial support services.

  • At least two years experience in a similar related job.

  • Excellent written English, with good command of spoken Arabic and English.

  • Good interpersonal and written and oral communication skills.

  • Good organizational skills; ability to manage and prioritize tasks.

  • Computer literate with a high degree of proficiency and productivity.

  • A full commitment to World Vision’s core values and mission statement.

  • Full adherence to World Vision Lebanon Child Protection, Code of Conduct and Conflict of Interest policies.

  • Maintain a high level of confidentiality

  • Flexibility in accomplishing tasks.
