PURPOSE OF THE POSITION:
To provide front-line office services and wide range of support for World Vision Lebanon administration and staff.
MAJOR RESPONSIBILITIES:
Receive people and provide them with first assistance.
Greet visitors in a professional and courteous manner and notify the relevant employee
Ensure that the reception area, conference room, external entrance are kept neat and tidy, so as to maintain a good image of the organization.
Handle and transfer all incoming calls, insuring that calls are answered effectively.
Handle the process of distributing incoming and outgoing mail / courier (DHL, Libanpost, Aramex, ect.), prepare Payment order for Aramex each end of month.
Coordinate the conference rooms’ schedule, charging and prepare for meetings to provide with coffee breaks and lunch as requested.
Keep the conference room tidy and clean after each usage.
Update the conference file as needed.
Monitor water use and update water tracking sheet,
Keep taxi tracking sheet updated
Send monthly reports as required.
Responsible for registering, typing, sending, distributing copies and filing all outgoing mail, faxes as needed
Update World Vision staff directory on a monthly basis in coordination with P&C department.
Prepare the visitor’s pack as requested
Responsible of own security and actively contribute to a positive security culture
Abide by the security policies and procedures and report any incidents or breaches to line manager and / or security manager
Attend and participate in spiritual nurture events as well as other organizational events.
Attend and participate in local and international CB events as needed
Perform other relevant duties as needed
KNOWLEDGE, SKILLS and ABILITIES:
Diploma in a field related to administration and secretarial support services.
At least two years experience in a similar related job.
Excellent written English, with good command of spoken Arabic and English.
Good interpersonal and written and oral communication skills.
Good organizational skills; ability to manage and prioritize tasks.
Computer literate with a high degree of proficiency and productivity.
